Resigning a job in Rwanda professionally

How to resign without damaging your reputation: notice, handover, what to say to your manager, what you are entitled to, and what to do about a toxic workplace you need to leave.

Resigning is awkward, and it is also the moment your professional reputation is most visible to the people who will be asked about you later. In Kigali, professional circles are smaller than people expect.

The order of operations

  1. Check your contract for the notice period. The statutory minimum applies where the contract is silent, but your contract may give more.
  2. Decide before you announce. Do not resign verbally in the moment of an argument, however satisfying it would be.
  3. Speak to your manager first, in person. Keep it short and professional. You do not owe a detailed account of your reasons or a list of grievances.
  4. Follow with a short written confirmation the same day, stating your resignation and your final working day.
  5. Work your notice properly. Handover documents, responsibilities transferred, nothing left to find after you go.
  6. Ask for a reference and a certificate of service before you leave, not after.

I have decided to resign, and I wanted to tell you in person first. My last working day will be the date in writing. I am happy to hand over my responsibilities properly over the notice period.

Short, warm, final. Offering an explanation invites negotiation and argument; giving a reason risks the conversation becoming about whether they agree with it.

Feedback is worth giving when it can be useful. Give it in writing, be specific rather than general, and do not include anything about named colleagues. Frame it as a pattern, not a complaint about a person.

Do not give feedback on your last day in a way that requires a response. If you have something worth saying, say it while you still work there.

Work your notice period properly and pay will normally continue to the end of it. Confirm in writing your final pay date, any unused leave, and the treatment of allowances. Ask for a breakdown rather than accepting the first figure on a payslip.

When the workplace is genuinely difficult

For harassment, discrimination, or unsafe conditions, that is not a resignation conversation, it is a complaint. Document dates and details while they are fresh, and use the internal process where you can. Do not resign and then describe the situation afterwards, because that forfeits the protection the process provides.

Unsustainable workload or a manager you cannot work with is different. Sometimes leaving is the right move, but take a reference-worthy handover seriously even so, and keep the relationship manageable. You may work with these people again.

After you leave

Do not discuss the reason publicly, particularly on professional social media. Return company property and clear anything outstanding. Keep your own records for a reasonable period. And when you are asked for a reference, be accurate and brief: it is more useful than enthusiasm.
