INVENTORY CONTROLLER – STORES

About the Role

Solid’Africa is seeking a responsible and detail-oriented inventory controller—stores to manage and maintain accurate inventory records and ensure proper handling of goods within the organization’s stores.

The successful candidate will be responsible for monitoring stock from receipt to issuance, maintaining accurate records, conducting stock counts, identifying discrepancies, and supporting procurement planning.

Key Responsibilities

Inventory and Stock Management

  • Receive and inspect incoming goods by checking them against purchase orders, delivery notes, and required specifications.
  • Record all stock received, issued, transferred, returned, or disposed of using the approved inventory systems and documentation.
  • Maintain accurate stock cards, registers, and electronic inventory records.
  • Organize and store items safely, with appropriate labeling, access controls, and storage conditions.
  • Release stock only when supported by properly authorized requests and obtain confirmation from recipients.
  • Monitor inventory levels and report shortages, excess stock, damaged goods, expired items, or slow-moving stock.
  • Conduct regular physical inventory counts and compare actual quantities with recorded balances.
  • Investigate and report stock discrepancies, losses, or damage according to organizational procedures.
  • Apply appropriate stock rotation methods, including First-In, First-Out (FIFO) where applicable.
  • Ensure the stores remain clean, organized, secure, and compliant with health and safety requirements.

Inventory Reporting and Procurement Planning

  • Prepare regular reports showing stock balances, usage, variances, and replenishment requirements.
  • Review current and historical consumption patterns, stock levels, supplier lead times, and planned activities to estimate future inventory requirements.
  • Develop and update procurement forecasts and replenishment recommendations.
  • Work closely with procurement, finance, and program teams to support timely purchasing.
  • Regularly review inventory forecasts and adjust recommendations when consumption, program requirements, or supplier delivery times change.
  • Inform the responsible manager when stock reaches reorder levels or when projected demand may result in shortages or excess inventory.

Documentation and Compliance

  • Maintain complete supporting documents for all inventory transactions.
  • Ensure stock movements are properly authorized and documented for audit purposes.
  • Coordinate with Finance, Procurement, Programs, and other relevant departments on inventory-related matters.
  • Ensure inventory activities follow organizational policies, procedures, and control requirements.

Qualifications and Experience

Applicants should have:

  • A degree in Inventory Management, Stores Management, Logistics, Procurement, Accounting, or a related field.
  • At least 4 years of experience in inventory control, stores management, or warehouse operations is an advantage.
  • Good computer skills and experience using spreadsheets or inventory management software.
  • Previous experience maintaining accurate stock records and handling inventory documentation.

Performance Indicators

Performance will be assessed based on:

  • Accuracy of inventory records and physical stock counts.
  • Timely and complete submission of inventory reports.
  • Proper authorization and documentation of all stock movements.
  • Reduction of unexplained stock losses, damage, and discrepancies.
  • Compliance with storage, safety, security, and stock-rotation procedures.
